Appointment Confirmation, Cancellation or No-Show - Students Abroad

We understand that schedules can change and that navigating healthcare—especially while studying abroad—can be challenging. Our intention with this policy is to balance flexibility for patients with respect for the clinicians’ time and the availability of care for others.

Psychiatric and therapy appointments are reserved exclusively for each patient and require preparation in advance. When an appointment is cancelled late or unattended, that time cannot be reassigned. We therefore kindly ask for your cooperation with the following policy.

1. Card on File & Appointment Confirmation

  • To secure appointments, we require a valid credit or debit card on file.

  • Payments are processed securely using Stripe, a GDPR-compliant payment platform.

  • To confirm each appointment, a €1 confirmation charge is applied to the card on file.

  • If you attend the session, this €1 is fully reimbursed after the appointment.

2. How to Confirm Your Appointment

  • Appointments must be confirmed at least 24 hours in advance.

  • Confirmation can be made by WhatsApp or email with the staff member managing your intake process.

3. Late Cancellation or Failure to Confirm (within 24 hours)

  • If an appointment is not confirmed at least 24 hours before the scheduled time, it will be considered cancelled.

  • In this case, an additional €49 fee will be charged to the card on file (total €50, including the €1 confirmation charge).

4. No-Show

  • If you do not attend your appointment without prior notice, an additional €49 fee will be charged (total €50, including the €1 confirmation charge).

5. Our Rationale

This policy is not intended to be punitive. It helps us:

  • Reduce unused appointment times

  • Ensure fairness to other patients seeking care

  • Maintain a sustainable and respectful clinical practice

Payment Data, Privacy & Legal Compliance (Spain)

We take data protection seriously and process payment information only for appointment management and billing purposes.

In accordance with:

  • EU General Data Protection Regulation (GDPR – Regulation (EU) 2016/679), and

  • Spanish Organic Law 3/2018 on the Protection of Personal Data and Guarantee of Digital Rights (LOPDGDD),

we apply the principles of data minimisation, storage limitation, and security of processing.

  • Card details are stored and encrypted by Stripe, not by our clinic.

  • We do not retain or use payment details beyond what is necessary for active treatment.

  • Once the therapeutic relationship has ended and all outstanding balances are settled, the card on file is removed/disabled, in compliance with GDPR and Spanish data-retention obligations.

By scheduling an appointment, patients acknowledge and agree to this policy.
